Rental Agreement Preview

Here is a preview of our standard rental agreement. We will look over this and sign in person. Your agreement may vary, please read in full when we meet. 

In order to rent our hall, you will be required to sign the following agreement (or something similar):

-- Reservations -- 
Reservations with a refundable deposit must be made in advance to reserve the event date.
Reservations are taken on a first paid, first served basis
You must be at least 18 years old to rent this facility
HCH accepts cash, money orders, cashier’s check as form of payment for rental

-- Deposits --
In addition to the rental fees, all rental groups will be charged a security deposit of $400-$500 for each rental. The deposit covers any damage to the property, building, or equipment used during the function at HCH.
The security deposit will be will be due at the time the rental date is set. The deposit will be held until the hall is cleaned according to the attached clean up page.
 
AUTOMATIC FORFEITURE OF DEPOSIT will occur under the following condition:
The building is left unlocked, setting off fire alarms, disturbance of the peace, damage to the facility itself, equipment, furnishings, or decorations: including damage from attachment of banners, posters, streamers, signs etc., (NOTHING IS ALLOWED TO BE ATTACHED TO THE DRYWALL SECTION OF THE WALLS), trash left in the building or property or failure to clean up the facility by the designated time. Noise or music levels must be kept below 90 decibels on our decimeter recorder that is displayed on the east wall of the facility. Exceeding this level will result in a forfeit of the deposit.  Music must be discontinued by 1:00 am. If any law enforcement is called, your deposit will be forfeited. The security deposit will be refunded within one week if all the terms are met.
 
-- Payment Schedule --
Full payment of the rental including any rental fees of table cloths and chair covers must be paid the day before the event or sooner.
If renter chooses to have HCH personnel do the cleanup after the event the $250 charge is also due at this time.
 
-- Restrictions --
- Animals are permitted if written approval is noted by management.
- Smoking in the building is prohibited at all times. Smoking outside is allowed only if smokers agree to dispose of their cigarettes in the outside cigarette urns. Renters take full responsibility for the behavior of all attendees
- **Candles or open flames must be approved by the fire marshal or management of HCH
- HCH Management may be on the premise during any event

-- Alcohol and Security --
Will there be alcohol served at your event? 
 If alcohol is served at your event, we strongly recommend that you hire security.
 
-- Set-Up and Clean-Up --
Renter must clean up by the “end time” of the rental agreement. This includes all areas of the hall and will be inspected prior to refund of the security deposit. Clean-up can be done after the 1:00 am closure requirement.  HCH is not responsible for items left in the facility. All leftover food, garbage, and unrecoverable decorations are to be placed in trash bags and deposited in the dumpster provided in the outside rear of the HCH building.
Renters are responsible for setup of and removal of tables and chairs (stored at the hall). Groups who wish to decorate must do so within their rented time.
 
-- Clean Up Checklist -- 
The fee paid for rental of the Hall is based on the renter cleaning up after the event as spelled out below. If the renter would prefer to have the Hall cleaned by the Hall’s staff, the charge is $350 over and above the rental charges due at time of rental.
 
* Clean Bathroom
Toilets, Sinks, Mirrors, Mop Floor, Remove Trash and replace with clean trash bags found in the kitchen.
 
* Clean Kitchen
All food removed and dishes washed and put away. All appliances wiped down and inside bottom tray below oven, floor mopped. All trash removed to dumpster and replaced with clean bags.
 
* Meeting Area
All trash removed to dumpster and replace with clean trash bags. Sweep floor and mop, wipe down tables and chairs.
 
* Parking Area
All bottles, cans or trash of any kind (including cigarette butts) picked up and removed to dumpster and replaced with clean bags. Cigarette butts must be picked up. Cigarette Urns must be emptied.
 
The Hall should be left in the same condition as when it was rented
 
Upon final walk through, Staff will make notes of condition which may result in deposit deduction.
